What does a virtual administrative assistant do day to day in a design or construction firm?
The recurring work that fills a week without moving a project forward. Inbox and calendar management. Scheduling and meeting coordination. Data entry and document management, including keeping the project filing structure from decaying. Travel booking and expense reports. Research and vendor lookups. Preparing reports, presentations and meeting notes. In an AEC firm it usually also includes submittal and RFI logging, insurance certificate tracking, permit fee paperwork, and chasing consultants for documents. None of it requires a license, and all of it requires somebody reliable. The IRS also sets what a business has to retain and for how long, which is worth knowing before anyone reorganizes your files. The professional works your hours and inside your systems, so the work happens during your day rather than arriving overnight. That matters most on the items that need an answer from you before they can move, which turns out to be most of them.
How do we decide what to delegate first?
Track a week, then delegate the repeats. Write down every task that took more than ten minutes. Then mark the ones that recurred, followed a rule, and did not need your specific judgment. That list is the starting scope, and it is usually longer than expected. Delegate the frequent and low-risk work first. It builds the shared context that the harder work later depends on. Leave anything that requires client judgment, design decisions, or commitments on your behalf until later, and some of it forever. The other useful filter is what you avoid rather than what you do. The escalation path says who to ask when something falls outside the rules, and how fast. Beyond that, the assistant needs to be introduced rather than hidden.
